    Group Requirement

    Add an extra item or service to a Group in RMS.

    A Group Requirement is a Requirement that will apply to any Reservation made using the Group.

    Information

    A Group Requirement is a Requirement that will apply to any Reservation made using the Group.

    A Group is a named allotment that can be used for a Company, Travel Agent or Master Reservation.

    A Requirement is an extra item or service for the Guest that includes the option to charge a fee using a Sundry Charge.

    Sundry Charge is an incidental charge for any item that is not a Rate or Receipt including Add OnsCredit NotesCommissions, Deferred Revenue, ExpensesTransfersJob Maintenance, Meals, POS LiteRefundable Charges or BondsRental FeesRequirements and Surcharges.

    A Group Requirement can be added to a Group Allotment to only apply to a Reservation that deducts from the elected allotment.

    Requirements can be viewed or managed on the 'Requirement/Trace' section or tab of the Reservation and on the To Do Chart.

    The Requirement List is a printable report of all Requirements including the Requirement Details, Reservation, Guest and Requirement Status.

    A Group Trace is an inter or intra-departmental note that can be tracked and managed on the Group or To Do Chart.

    A Trace can be used to communicate or delegate tasks to a Department.



    Arrive, Depart, Category, Area, Reservation, Company, Travel Agent, Wholesaler, Guest, Account Types, Receipt Types, Sundry, Rate and Tax are default System Labels that can be customised.



    Users will require Security Profile access to use this feature.

    Use

    1. Go to Reservations > Groups in the Side Menu of RMS.
    2. Select the 'Edit' icon on an existing Group.
    3. Navigate to the 'Allotments' tab.
    4. Select an existing Allotment and choose the 'Edit' icon.
    5. Navigate to the 'Requirements' tab.
    6. Select the 'Add' icon.
    7. Select a Requirement.
    8. Enter a Description.
    9. Optional: Select the checkbox 'Required Daily'.
    10. Optional: Select the checkbox 'Appear on Housekeepers Report'.
    11. Optional: Select the checkbox 'Guest Facing Requirement'.
    12. Optional: Enter a Note.
    13. Optional: Select a Sundry Charge.
      1. Enter a Quantity.
      2. Enter a Unit Price or select the checkbox 'Use Amount from Sundry'.
      3. Optional: Select the checkbox 'Charges Required Daily'.
        1. Select to Include or Exclude the 'To Date' of the Requirement.
    14. Save/Exit.



    A Guest Facing Requirement can be used to filter the list of Requirements displayed to a Guest when using any of the 'Guest Facing Requirement List' Merge Fields in a Form Letter.

    The Requirement will be added to the Reservation with the From Date as the Arrive Date and the To Date as the Depart Date of the Reservation.

    The selected Requirement will be added to any Reservation created using the Group and deducting from the selected allotment.

    Go to Reservations > Groups in the Side Menu of RMS.

    Select the 'Edit' icon on an existing Group.

    Navigate to the 'Allotments' tab.

    Select an existing Allotment and choose the  'Edit' icon.

    Navigate to the 'Requirements' tab.

    Select the  'Add' icon.

    Select a Requirement.

    Enter a Description.

    Optional: Select the checkbox 'Required Daily'.

    Optional: Select the checkbox 'Appear on Housekeepers Report'.

    Optional: Select the checkbox 'Guest Facing Requirement'.

    Optional: Enter a Note.

    Optional: Select a Sundry Charge.

    Enter a Quantity.

    Enter a Unit Price or select the checkbox 'Use Amount from Sundry'.

    Optional: Select the checkbox 'Charges Required Daily'.

    Select to Include or Exclude the 'To Date' of the Requirement.

    Select the  'Save/Exit' icon to store the changes made and return to the Group.

    Select the  'Save/Exit' icon to store the changes made and leave the Allotment.

    Select the  'Save/Exit' icon to store the changes made and leave the Group.

    The selected Requirement will be added to any Reservation created using the Group and deducting from the selected allotment.

    Use

    1. Go to Reservations > Groups in the Side Menu of RMS.
    2. Select the 'Edit' icon on an existing Group.
    3. Navigate to the 'Allotments' tab.
    4. Select an existing Allotment and choose the 'Edit' icon.
    5. Navigate to the 'Requirements' tab.
    6. Select the 'Add' icon.
    7. Select a Requirement.
    8. Enter a Description.
    9. Optional: Select the checkbox 'Required Daily'.
    10. Optional: Select the checkbox 'Appear on Housekeepers Report'.
    11. Optional: Select the checkbox 'Guest Facing Requirement'.
    12. Optional: Enter a Note.
    13. Optional: Select a Sundry Charge.
      1. Enter a Quantity.
      2. Enter a Unit Price or select the checkbox 'Use Amount from Sundry'.
      3. Optional: Select the checkbox 'Charges Required Daily'.
        1. Select to Include or Exclude the 'To Date' of the Requirement.
    14. Save/Exit.
