    Guest Profile Correspondence Received In

    Record correspondence received on the Guest Profile in RMS.

    The Correspondence tab on the Guest Profile can be used to record received correspondence and attachments.

    Information

    The Correspondence tab on the Guest Profile can be used to record received correspondence and attachments.

    Correspondence recorded on the Guest Profile remains with the guest details on any reservation which varies from Correspondence recorded on a specific reservation.

    File attachments can be included with the recorded correspondence to save a copy of an email, file or image that was received by the guest.



    Users will require Security Profile access to use this feature.

    Use

    1. Go to Reservations > Guest Search in RMS.
    2. Enter the Guest Name and press 'Enter'.
    3. Select an existing Guest Profile and choose 'Edit'.
    4. Navigate to the 'Correspondence' tab.
    5. Select the  icon.
    6. Select 'Received (In)'.
    7. Select the Date & Time.
    8. Optional: Select an Activity.
    9. Enter a Note.
    10. Optional: Add an Attachment.
      1. Select the  button.
      2. Select the File and choose 'Open'.
    11. Save/Exit.



    View saved attachments by double clicking the 'Received In' record and choosing the  'View Attachment' icon.

    Go to Reservations > Guest Search in RMS.

    Enter the Guest Name and press 'Enter'.

    Select an existing Guest Profile and choose 'Edit'.

    Navigate to the 'Correspondence' tab.

    Select the  icon.

    Select 'Received (In)'.

    Select the Date & Time.

    Optional: Select an Activity.

    Enter a Note.

    Optional: Add an Attachment.

    Select the  button.

    Select the File and choose 'Open'.

    Select 'Save/Exit' to store the changes made and return to the Guest Profile.

    Saved attachments can be viewed by double clicking the 'Received In' record and choosing the  'View Attachment' icon.

      2. Select the File and choose 'Open'.
    11. Save/Exit.
