    In-House Guest Communication

    Communication options for in-house guests in RMS.

    Communicating with guests who are currently staying at the property can be used to relay important, time sensitive information such as a power outage or severe weather warning or to send informational updates on local events, promotions or specials that can be taken advantage of throughout their stay.

    The following options are available for communicating to all guests on reservations with an 'Arrived' status in RMS.


    Email In-House Guests

    Steps Required

    1. Go to Reservations > In/Out Movements in RMS.
    2. Navigate to the 'In House Guest' view.
    3. Select the checkbox for All Reservations.
    4. Select 'Send Letter'.
    5. Select the Form Letter.
    6. Select 'Open'.
    7. Select 'Email All'.
    8. Select the Sender.
    9. Email/Exit.

    Info

    Sending an email to all in-house guests can be used for non-urgent communication or informational updates that are not time sensitive. 

    Visual Guide

    Go to Reservations > In/Out Movements in RMS.

    Navigate to the 'In House Guest' view.

    Select the checkbox for All Reservations.

    Select 'Send Letter'.

    Select the Form Letter.

    Select 'Open' to merge the selected letter on screen.

    Select 'Email All'.

    Select the Email Sender.

    Select 'Email/Exit' to send the selected letter to all recipients.



    SMS In-House Guests

    Steps Required

    1. Go to Reservations > In/Out Movements in RMS.
    2. Select the Screen View of 'In House Guest'.
    3. Select the checkbox for All Reservations.
    4. Select 'Send SMS'.
    5. Select an SMS Template and choose 'Open'.
    6. Select 'Send All SMS'.

    Info

    The 1-Way SMS Module is required to send SMS from RMS.

    The 2-Way SMS Module is required to receive replies in RMS.


    Sending an SMS to all in-house guests can be used for urgent communication in case of emergency or efficient information updates for all guests staying at the property.


    International SMS

    The 'Country' field selection made on the Guest Profile will be used for sending SMS internationally.

    If no Country is set, the SMS will send using the Property's Country Code and may not reach the intended recipient if it is an international guest.

    Visual Guide

    Go to Reservations > In/Out Movements in RMS.

    Select the Screen View of 'In House Guest'.

    Select the checkbox for All Reservations.

    Select 'Send SMS'.

    Select an SMS Template and choose 'Open'.

    Select 'Send All SMS'.

    The selected SMS will be sent to the Guest on all selected Reservations and a confirmation of the number of SMS sent will be displayed on screen.
