    Automate the scheduling of a Housekeeping Task in RMS.

    A Housekeeping Task automates the scheduling of a housekeeping requirement on a Reservation.

    Information

    A Housekeeping Task automates the scheduling of a housekeeping requirement on a Reservation.

    The Housekeeping Task Hierarchy will determine which Housekeeping Task is scheduled on a Reservation and the Task Frequency determines which Reservation Stay Dates the Housekeeping Task will be scheduled on.

    The Housekeeping Task Frequency can be set to only apply when a Reservation meets a minimum length of stay and/or to only apply after a set number of days even if the frequency would otherwise schedule the Housekeeping Task.

    Task Frequency Behaviour predetermines alterations to the Task Frequency when the scheduled date falls on the Arrive Date, Depart Date, Specific Days of the Week including Weekends, and Housekeeping Holiday Dates.

    An Enterprise database can set the Time Allocation per property to share the same Housekeeping Task between properties that use the same Housekeeping Task Frequency.

    Time Allocation on a Housekeeping Task can be used on the Housekeeping Roster to schedule the daily workload of available Housekeepers with allocated tasks visible on the Housekeepers Report and in the Staff Portal.

    The option 'Use Departure Block' on the Use Housekeeping setup enables automating an Out of Order Reservation being created when specific Departure Housekeeping Tasks occur and can be used to prevent same day arrivals from booking into an Area in 'Vacant Dirty' status.

    Task Options

    The following options are available on a Housekeeping Task.

    Option Description
    Requires a Linen Change Indicates that Linen is required to complete this Housekeeping Task and will populate the Linen on the Housekeepers Report.
    Requires a Departure Clean Indicates the Housekeeping Task is a full clean of a Vacant Area.
    Requires an Inspection Sets the Area Status to 'Inspection' when this Housekeeping Task is marked as 'Complete' and can be marked 'Inspected' by a Housekeeper with permission.
    Time Allocation Defines the time allotted for completing the task in each Category.
    When enabled to 'Use Departure Block' the number of days to set the Out of Order Reservation can be set here for a Departure Clean task.

    Task Frequency Options

    The following Task Frequency options are available on a Housekeeping Task.

    Task Frequency Description
    Apply if Number of Nights Falls Between The Housekeeping Task will only apply if the Reservation Length of Stay is between the range entered.
    Begin After Only schedule the Housekeeping Task after the entered number of days on the Reservation.
    Include Task On The Day Include the day set as the Begin After in the task schedule.
    Frequency Determines the scheduling of the Housekeeping Task.
    On The, On Average Every or Every First, Last or Ordinal Number Day or Day of the Week on the Reservation.
    Frequency Behaviour Determines when the Housekeeping Task will be scheduled if the ordinary schedule falls on the Arrive Date, Depart Date, Set Day of the Week or Holiday Date.

    Housekeeping Task Hierarchy

    Housekeeping Tasks can be setup on a Property, Category, Area, Rate Type, Rate Type Property Rule, Derived Rate Type, Derived Rate Type Property Rule or Rate Table.

    The Housekeeping Tasks allocated to a reservation are determined by the Housekeeping Task Hierarchy.









    Rate Table *
    Best for seasonal housekeeping.















    Derived Rate Type Propery Rule
    Best for Rate specific housekeeping at a particular property.













    Derived Rate Type *
    Best for Rate specific housekeeping on a Derived Rate Type.











    Rate Type Property Rule
    Best for Rate specific housekeeping at a particular property.









    Rate Type
    Best for Rate specific housekeeping on a Standalone Rate Type.







    Area
    Best for housekeeping that differs per Area or for a specific Area.





    Category
    Best for housekeeping that differs per Category or for a specific Category.



    Property
    Best for housekeeping across the entire property.

    Property and/or Category Housekeeping Tasks apply to the widest range of reservations with the least amount of setup.

    Area, Rate Type and Rate Table Housekeeping Tasks are best used sparingly to override the Category or Property Housekeeping Tasks.

    Where multiple layers of Housekeeping Tasks are present the reservation will only include the tasks of the highest setup layer.

    When adding layers of Housekeeping Tasks the new layer must include all required tasks as layers are not combined on a reservation.

    * Housekeeping Tasks setup on a Derived Rate Type or Derived Rate Type Property Rule will apply to the Reservation unless there is a Rate Table selected on the Adjustment Amount tab of the Derived Rate setup and the selected Rate Type includes Housekeeping Tasks.

    Any Housekeeping Tasks setup on the Rate Table for the 'Derived From' Rate Type will not override the Housekeeping Tasks on the Derived Rate Type or Derived Rate Type Property Rules.

    Category, Area, Reservation, Guest, Rate and Task Time Increment are default System Labels that can be customised.

    Use Housekeeping must be enabled to use Housekeeping Tasks.

    System Administrators will require Security Profile access to setup this feature.

    Have your System Administrator complete the following.

    1. Go to Setup > Housekeeping > Housekeeping Tasks in the Side Menu of RMS.
    2. Select the 'Add' icon.
    3. Select a Property.
    4. Navigate to the 'Task' tab.
    5. Enter a Task Description.
    6. Optional: Select the checkbox 'This Task Requires a Linen Change'.
    7. Optional: Select the checkbox 'This Task Requires a Departure Clean'.
    8. Optional: Select the checkbox 'This Task Requires an Inspection'.
    9. Navigate to the 'Frequency' tab.
    10. Optional: Setup Task Length of Stay Conditions.
      1. Select the checkbox 'Apply if No of Nights Falls Between'.
      2. Enter the Length of Stay conditions.
      3. Optional: Enter the Number of Days to Begin After.
      4. Optional: Select the checkbox 'Include Task on this day'.
    11. Select a Frequency.
    12. Select the Frequency Behaviour.
    13. Navigate to the 'Task Time Allocation' tab.
    14. Enter the Category Task Time Allocation.
    15. Optional: Enter the Departure Block (Days).
    16. Save/Exit.

    Select the  'Save/Exit' icon to store the changes made and leave the setup.

    A Housekeeping Task must be allocated to a Property, Category, Area, Rate Type, Rate Type Property Rule, Derived Rate Type, Derived Rate Type Property Rule or Rate Table before it will schedule on a Reservation.

    Setup

    Have your System Administrator complete the following.

    11. Select a Frequency.
    12. Select the Frequency Behaviour.
    13. Navigate to the 'Task Time Allocation' tab.
    14. Enter the Category Task Time Allocation.
    15. Optional: Enter the Departure Block (Days).
    16. Save/Exit.
