Email Validation ensures the recipients of bulk correspondence have legitimate email addresses that can receive the email being sent in RMS.
Validating email addresses before sending bulk correspondence in RMS ensures that the intended recipients can receive the email reducing the chances of emails bouncing or being redirected to the recipients Junk or Spam folder.
Bulk correspondence includes emails sent to more than 50 recipients using Form Letters or EDM Campaigns in RMS.
Email Validation is saved on the Guest Profile and the email address will remain validated for 12 months.
Changing the email address on the Guest Profile will reset the validation record to require validation on the new email.
Invalid email addresses identified will be removed from the Guest Profile and a .csv export provided including a list of all email addresses removed during the validation check.

- Go to Utilities > Report Writer in RMS.
- Select a Report Writer Template.
- Select 'Show Matches'.
- Select the checkbox for the Recipients.
- Select 'Form Letter' or 'Send Campaign'.
- Read the Email Validation Notice.
- Read the Terms & Conditions.
- Select 'Proceed'.
- Select the Form Letter or EDM Campaign.
- Enter the Sender Details for an EDM Campaign or select 'Open' for a Form Letter.
- Select 'Send Campaign' or 'Email All'.
A .csv file will be downloaded with the details of any invalid email addresses found and removed from Guest Profiles during the validation process.
Use the Auto Guest Merge utility to ensure that no duplicate Guest Profiles exist resulting in duplicate email validation.
