    Cloud Archiving actively maintains 48 months of data in the live database for all RMS Cloud customers to ensure information required for day-to-day operations is readily accessible without compromising overall system performance.

    Cloud Archiving actively maintains 48 months of data in the live database for all RMS Cloud customers to ensure information required for day-to-day operations is readily accessible without compromising overall system performance.

    The RMS Archive Process runs continually on all databases to actively maintain 48 months of data. Excess data is automatically archived and stored securely for 6 years to ensure full compliance with local statuatory obligations on the storage of financial and business records.

    Cloud Archiving is performed in alignment with the RMS Backup Policy and ensures optimal system performance whilst maintaining offline storage of the historical data.

    Cloud Archiving maintains the live database and securely stores historical departed reservations with no outstanding balance, their transaction data and tax invoices that are more than 48 months old.

    Rate Types, Rate Periods, Rate Tables and Rate Lookups are not removed from the live database and can be manually deleted if no longer required once all historical records have been archived out of the live database.

    Guest Profiles are removed from the live database during archiving when no current or future reservations exist for the Guest and the historical Reservations exceed the archive period.

    Properties can use Scheduled Reports or manually export to PDF copies of year to year financial reports to keep on file for historical reporting purposes, maintain debtors to enable the archiving process to occur efficiently; improving day-to-day system performance and maintain PDF copies of Tax Invoices for on site record keeping.



    Properties that require more than 48 months of data maintained in the live database can contact RMS Sales to purchase additional cloud storage.

    How much data is kept in the live database?

    RMS continually maintains 48 months of data in the live database with historical data stored securely offline for 6 years.

    A copy of the historical database can be restored to the Training Database if access is required for auditing purposes.


    What information gets archived?

    Cloud Archiving relieves the live database of the following historical data older than 48 months:


    • Departed Reservations with No Outstanding Balance.
    • Transaction Data including Tax Invoices for the Departed Reservations with No Outstanding Balance.
    • Guest Profiles.


    What information doesn't get archived?

    Cloud Archiving does not include the following data:



    Unused setup items can be manually removed once Cloud Archiving has relieved the database of historical data. Setup items cannot be deleted from the live database if in use on reservations.


    How does Cloud Archiving work?

    Regular database backups are obtained and stored securely in line with the RMS Backup Policy. 

    Following a complete backup of the live database Cloud Archiving runs in the background to relieve the live database of historical data older than 48 months.
